FLIGHT TRAINING
Auditing a half-built system, then finishing it properly.
A flight school that had already had a system built, without a clear picture of what worked, what did not, and what had never been finished.
The problem
What was going wrong
A partially built system with gaps nobody had mapped, and a need to reach prospective students on WhatsApp rather than SMS.
This is a different starting point from an empty account, and in some ways a harder one. Something that half works is trusted, so the gaps are not obvious until a lead falls through one of them.
What I built
The system, piece by piece
A full QA pass, written down
Every workflow in the existing build was tested and the result recorded as a written checklist of each gap and each fix. The document was the deliverable, not just the repairs, so the school could see what had been wrong rather than being told it was handled.
WhatsApp Business API templates built for approval
Message templates were written to meet Meta's approval requirements rather than written first and revised after rejection. Template rules are specific about how variables are used and how promotional content is phrased, and a rejected template blocks the channel until it is fixed.
A nurture and re-engagement sequence
A sequence was specced and built for enquiries that go cold before enrolment. Enrolment decisions in training are rarely made on first contact, so the gap between enquiry and enrolment is where most of the loss happens.
Reasoning
Why it was built this way
Why the audit was written, not just done
When you inherit someone else's build, the client usually cannot tell the difference between "it is fixed" and "I am telling you it is fixed". A written checklist of every gap and its resolution is the only thing that makes the work verifiable by someone who was not doing it.
Why WhatsApp instead of SMS
WhatsApp is the default messaging channel across much of the world, and where an audience reaches for it first, SMS sequences underperform for reasons that have nothing to do with the copy. Choosing the channel the audience already uses matters more than optimising messages on the wrong one.
What changed
The result
Every gap in the half-built system is documented in a written checklist the school can act on, and enquiries that go cold before enrolment are followed up on WhatsApp using Meta-approved templates.
Described in terms of what the system does. No performance figures are published here, because none have been independently verified.
Next Step
Recognise any of this in your setup?
Every project starts with an audit of what you already have, sent to you in writing before any building starts.
