RESTORATION SERVICES
Emergency calls that stopped going to voicemail.
A restoration company taking emergency calls around the clock, with no system deciding what happened to a lead after it arrived.
The problem
What was going wrong
Emergency calls were coming in at all hours and going to voicemail. No system tracked which lead came from where, and follow-up depended on whoever remembered to call back.
Restoration is unusually unforgiving about this. Water damage does not wait until morning, and the homeowner calling at 2am is calling several companies in a row. Whoever answers first tends to get the job, so a voicemail is not a delayed lead, it is usually a lost one.
What I built
The system, piece by piece
Nine workflows covering the full job lifecycle
Intake, qualification, estimate follow-up, and job completion each got their own workflow rather than one large sequence. Splitting them this way means a lead stalling at estimate stage is chased by the estimate workflow specifically, and nothing fires that assumes a stage the contact has not reached.
A Voice AI receptionist for after-hours calls
The agent answers calls outside office hours, handles the initial conversation, and books directly into the calendar. The call does not end in a voicemail that someone has to listen to and act on the next morning.
A reschedule link on every booking
Each booking generates its own reschedule link, so a client can move an appointment without calling the office. This removes a category of inbound calls entirely, and it means the calendar reflects reality instead of being corrected by hand after the fact.
A2P brand registration for compliant SMS
Registration was completed so text messages reach the carriers properly rather than being filtered. The first submission was rejected for a mismatch between the EIN and the business address on file, which is one of the most common causes and is not explained clearly in the rejection itself. It was resolved and resubmitted.
Reasoning
Why it was built this way
Why source tracking came first
Before any automation was built, every lead route was tagged at the point of entry. Without that, you can automate follow-up but you still cannot answer which channel is worth spending on. It is far harder to add retrospectively than to build in at the start.
What an A2P rejection actually costs
An unregistered or rejected brand does not fail loudly. Messages are simply filtered by carriers, so the system looks like it is working while a portion of texts never arrive. That is why registration is treated as part of the build rather than an afterthought.
What changed
The result
Missed calls stopped going nowhere. After-hours enquiries are answered and booked straight into the calendar, and every lead is tracked to its source in one pipeline instead of depending on who remembered to call back.
Described in terms of what the system does. No performance figures are published here, because none have been independently verified.

Every project starts with an audit of what you already have, sent to you in writing before any building starts.
