AGENCY / RESELLER
A general-business system a reseller can deploy again and again.
A consultant who planned to resell one lead-handling setup to their own clients across different industries, rather than buy a niche build for each.
The problem
What was going wrong
The system had to work for any business, not one industry. Anything tied to the first business, or any setting that only worked inside the original account, would have to be redone for every client the reseller signed.
The reseller also needed to know, before selling it, exactly what a snapshot would and would not carry into a new account.
What I built
The system, piece by piece
A lean master account
Only four custom fields: lead source, qualification status, SMS consent and lost reason. A pipeline from New Lead through Contacted, Engaged, Qualified and Appointment Booked to Showed, No-Show and Won, with no-shows kept in their own stage so they can be worked separately.
Five core workflows
Speed-to-lead, missed-call text-back, booking confirmation and reminders, no-show follow-up, and long-term nurture. Each step checks whether the lead has replied or booked and exits if so.
A website chat AI with a hand-off
The AI assistant runs on the website chat widget. Chat visitors who do not book are moved into speed-to-lead after a 15-minute hold, so a follow-up text never lands in the middle of a live chat.
An onboarding form for each new business
A new client fills in their own details once, and those answers populate the custom values that every message and the AI draw on.
Reasoning
Why it was built this way
Why each workflow checks and exits on its own
A global "stop on reply" setting is all or nothing. Explicit checks inside each workflow give control over which reply ends which sequence, which matters when the same system is going into businesses that behave differently.
Why the limits of a snapshot were written down
A snapshot copies structure, not connections. Phone numbers, A2P registration, email sending and calendar availability have to be set up in every new account, and reselling needs a higher GHL plan. That was put in writing before handover so the reseller could price it properly.
What changed
The result
The reseller has one master account to export from, an onboarding form that personalises each deployment, and a written list of what must be connected for each business before it goes live.
Described in terms of what the system does. No performance figures are published here, because none have been independently verified.
Next Step
Recognise any of this in your setup?
Every project starts with an audit of what you already have, sent to you in writing before any building starts.
