HOME CARE

A 33-point audit before a single workflow.

A private nursing and home care agency serving clients in several US states, with a new GoHighLevel account it wanted to build its operations on.

The problem

What was going wrong

Of the 33 items checked, one was partly in place and 32 were missing. The account was effectively a fresh start.

Three things made the order of work matter: the agency handles health information, it serves several locations from one account, and its registered legal name did not clearly match the name it trades under.

What I built

The system, piece by piece

A 33-item audit checklist

Covering foundation, phone and SMS, email, lead capture, pipelines, automations, communication, payments, reputation, reporting, integrations and compliance, each colour-coded as built, partial or missing.

A HIPAA path before any intake form

The standard GHL plan is not HIPAA compliant. The audit set out the add-on, the business associate agreement and the per-account activation needed before any health details are collected.

A2P preparation with an entity check

Brand registration needs the legal business name to match the tax records exactly. Public listings suggested a different registered name from the brand name, so this was flagged for confirmation before submission.

A phased roadmap with honest timing

Roughly 30 to 40 hours of build work, but two to four weeks on the calendar because of approval waits. The plan submits A2P and HIPAA paperwork on day one and builds forms, calendar, pipelines and speed-to-lead in parallel. Since GHL does not route calls by location on its own, per-location numbers or a phone menu were recommended.

Reasoning

Why it was built this way

Why compliance comes first in healthcare

Collecting health details before the right agreements are in place is the wrong order, and it is hard to undo once data is in the system. The audit puts that gate in front of the build, not behind it.

Why hours and weeks are quoted separately

Most of the elapsed time is waiting on approvals, not building. Quoting them separately sets the right expectation and shows why starting the paperwork immediately shortens the whole project.

What changed

The result

The agency knows exactly what exists, what is missing and in what order to build it, with the compliance blockers identified before any client health information touches the account.

Described in terms of what the system does. No performance figures are published here, because none have been independently verified.

Next Step

Recognise any of this in your setup?

Every project starts with an audit of what you already have, sent to you in writing before any building starts.
